IT Project Manager / Consultant – M365 Move to Cloud

Overview

A large organisation is undertaking a Move to Cloud programme to partially migrate files from an on-premise Windows file server to Microsoft Teams / SharePoint Online.

The current estate consists of approximately 2.4 million files across 250,000 folders, with centrally managed access rights and a growing number of user-managed Teams environments. The programme aims to improve collaboration, flexibility, and remote access while carefully managing risk, governance, and business continuity.

This role sits at the intersection of IT delivery, M365 architecture, and stakeholder management, requiring a hands-on Project Manager / Consultant with proven experience delivering similar migrations.

Responsibilities

  • Lead and deliver the Move to Cloud migration from on-premise file servers to Teams / SharePoint

  • Define migration scope, sequencing, and execution strategy

  • Coordinate technical delivery, tooling, and business stakeholders

  • Manage large-scale data migration volumes and dependencies

  • Oversee permissions transition from IT-managed models to user-managed Teams ownership

  • Implement and manage migration tooling (e.g. ShareGate)

  • Identify and mitigate risks relating to:

    • Excel macros

    • Inter-file links (notably XLS dependencies)

    • Unsupported or unstable file types (e.g. MS Access databases)

    • External sharing and data leakage

  • Define backup, versioning, and restore approaches aligned with internal procedures

  • Ensure compliance with quality and governance frameworks (incl. SMQ-PRO-029 / SMQ-PRO-031)

  • Produce project documentation, runbooks, and status reporting

  • Support user adoption and provide guidance to Team / SharePoint administrators

Required Experience

  • Proven experience delivering M365 / SharePoint / Teams migration projects

  • Strong background migrating on-premise file servers to cloud collaboration platforms

  • Hands-on experience with ShareGate or equivalent migration tools

  • Solid understanding of:

    • SharePoint Online architecture and permissions

    • Microsoft Teams governance and administration

    • File versioning, backup, and recovery models

  • Experience managing large data volumes and complex folder structures

  • Strong stakeholder management skills across IT and business users

  • Comfortable operating in structured, enterprise environments
