This is a high-impact opportunity for a seasoned administrative professional to support senior leaders in a fast-paced, high-performance business environment. You’ll operate at the center of day-to-day operations—partnering closely with executives and cross-functional teams to keep priorities moving, schedules aligned, and key initiatives running smoothly.

Key Responsibilities
- Provide comprehensive administrative support to senior team members, including calendar management, travel coordination, and expense processing
- Manage complex and constantly shifting calendars, ensuring alignment across stakeholders and proactively resolving conflicts
- Coordinate meetings, events, and conferences, including logistics, materials, and scheduling across multiple time zones
- Arrange detailed domestic and international travel itineraries, ensuring seamless execution and alignment with preferences and business needs
- Prepare, format, and organize documents, presentations, and reports as needed
- Handle expense reporting and reimbursement processes in a timely and accurate manner
- Serve as a point of contact for internal teams, clients, and visitors, maintaining a high level of professionalism
- Support general office operations including correspondence, filing, printing, and document management
- Take meeting notes and assist with follow-ups or action tracking when required
- Contribute to ad hoc projects and provide support on special initiatives as needed
Qualifications
- 7–9+ years of experience providing administrative support to senior leaders in a corporate environment
- Experience in fast-paced, high-demand environments (e.g., financial services, professional services, or similar) strongly preferred
- Bachelor’s degree required
- High level of discretion and ability to handle sensitive and confidential information
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong calendar management expertise, including coordinating across multiple stakeholders and time zones
- Excellent organizational skills with strong attention to detail
- Ability to manage multiple priorities and adapt quickly in a dynamic environment
- Strong written and verbal communication skills
- Professional demeanor with excellent interpersonal skills
- Self-starter with a proactive mindset and ability to work both independently and collaboratively
- Additional language skills (e.g., French) are a plus
